Description
Two positions
The International Service for Remunerations and Pensions (ISRP), which provides services to the Co ordinated Organisations (OECD, NATO, the European Space Agency, the Council of Europe and the European Centre for Medium-Range Weather Forecasts) and to various Associated Organisations, is responsible for the administration of the pensions of the Organisations and assistance in the management of the pension schemes.
The ISRP is administratively attached to the OECD.
We are looking for an Assistant who, under the supervision of the Head of the Pensions Computation Unit and/or the Head of Service, will carry out various administrative and accounting tasks.
Main responsibilities
Pensioners file management
Prepare the personal files of pensioners at the start of entitlement and keep them up-to-date; prepare and send welcome letters with general information.
Calculate the rights of new pensioners.
Check all data and enter them into the pay software; scan and archive files, monthly.
Transmit changes, payroll reports, data updates and payment listings to Organisations, on a monthly basis.
Questionnaire management
Dispatch annual questionnaires to pensioners and process them when returned, taking account of any changes in situation.
Send the appropriate reminders when applicable.
Client service
Advise pensioners on rules and regulations in force.
Act as the interface for people and services concerned (Financial and HR services of the Organisations, banks, notaries, executors of estates, accounting offices, etc.) to resolve problems of misdirected bank transfers or liquidation of estates.
Ensure a high quality client service..
Solve problems quickly and independently.
Account transaction management and statistics
Contribute to accounts management of the pensions paid by several Organisations, check the statements for various accounts and carry out related accounting operations.
Create spreadsheets in Excel to ensure high quality reporting.
Update statistics on trends in pensions.
Prepare payment authorisation for the monthly transfers to the bank.
Other administrative tasks
Carry out other administrative work as required.
Candidate’s profile
Academic background
Good general education (preferably at post-secondary level) and a good knowledge of information technology and accounting.
Professional background
Several years‘ experience in accounting or as a payroll assistantpayroll assistant, preferably in an international environment.
Tools
Very good command of the Microsoft Suite including advanced functions of Word and Excel.
Languages
Excellent knowledge of one of the Organisation’s two official languages (English or French) and good knowledge of the other.
Very good knowledge of German would be an advantage.

Contract Duration
Fixed term appointment: Two years (renewable).

The appointment may initially be made at the level immediately below if the qualifications and professional experience of the selected person correspond to that level; in this case, the duties and responsibilities assigned will be adjusted accordingly.
