Task Description: DESCRIPTION

The Ethics and Business Conduct Department (EBC) promotes the development and application of the highest ethical standards by staff members in the performance of their duties. The Anti-Harassment Coordinator (AHC) is the focal contact point in EBC for staff to report allegations of harassment and sexual harassment in connection with work at the WBG or to seek support to resolve such issues in an informal manner. The selected candidate will report to the AHC.

The selected candidate is required to be detail-oriented with solid, hands-on experience in data analysis and delivering high quality work product in a confidential environment. The specific functional areas are divided as follows:

DATABASE MANAGEMENT AND DATA ANALYSIS

Administers the Case Management System (CMS) by inputting, maintaining, and updating information for cases received.

Prepares weekly, monthly, and ad hoc reports for the Chief Ethics Officer and stakeholders, which include service-related statics.

Identifies and implements methods to streamline reporting from the CMS; trouble shoots, reports, and resolves issues in cooperation with ITS to continually improve CMS functionality, reporting, and process.

Prepares timely, accurate responses to requests from EBC leadership and WBG stakeholders for case and program-related statistical information.

Reconcile CMS data for AHC with others (e.g. CMS data on investigation)

Creates customized reports including visual charts, graphs, and analytical data for insertion into reports.

Updates CMS Manual and data analysis criteria/process material as needed.

Researches and performs statistical analysis and compilation of data by retrieving information from the CMS for weekly, monthly, and annual reports as well as ad hoc reporting and queries.

TASK MANAGEMENT AND QUALITY ASSURANCE REVIEW

Prepares draft case-related documents for the Anti-Harassment Coordinator’s or Counsel’s review.

Coordinates with EBC’s Intake Team to process incoming requests and reports, as well as referrals from the AHC to the EBC Investigation Unit. Answers the dedicated helpline.

Schedules and maintains a calendar of confidential, case-related consultations and meetings.

Maintains the AHC’s calendar and scheduling.

Conducts quality assurance review enhancement of key outputs, reports, communications, and PowerPoint presentations by reviewing, formatting, proofreading, and editing material.

Supports Outreach and Training events that the AHC participates in, including by providing technical assistance during virtual sessions, scheduling, tracking upcoming and completed sessions for reporting, and coordinating with ATV team to ensure consistent reporting and effective service delivery.

Upon guidance from the AHC, adapts, updates, and distributes outreach and information material relevant to the AHC’s work program.

Organizes visits of the Anti-Harassment Coordinator and Counsels to country offices, as well as virtual engagements.

Manages the process of publication of Staff Rule changes or other procedure or guidance related to the AHC work program following stakeholder approval.

Conducts other administrative duties in support of the AHC as necessary.

SELECTION CRITERIA

Bachelor’s degree, Paralegal certificate, or equivalent combination of education and experience.

Excellent verbal and written communication skills in English. Ability to draft a variety of correspondence and edit materials using proper grammar, punctuation and style.

Ability to generate, collect, and present statistical data. Advanced proficiency in Excel, including working with pivot tables.

Advanced experience working with Case Management Systems or other similar data and document recording systems.

Ability to edit PowerPoint presentations.

Knowledge of EBC procedures is desirable.

Sound organizational skills and ability to prioritize and deliver assignments in a timely manner, with minimal supervision and if needed under time pressure.

Ability to research, analyze and synthesize information and present results clearly and concisely.

Excellent interpersonal skills and proven ability to work effectively in a team.

Ability to provide assistance to team members by performing multiple, concurrent and progressively more difficult assignments.

Fully proficient computer skills, particularly in MS Word, Teams, Excel, PowerPoint, and collaboration tools, and in using information databases, internet/intranet services and library sources.

Ability to adapt effectively to shifting work demands.
