The International Energy Agency (IEA) is an intergovernmental organisation committed to advancing security of energy supply, economic growth and environmental sustainability through energy policy co-operation. The IEA operates as an autonomous body within the framework of the Organisation for Economic Co-operation and Development. Both the OECD and the IEA seek opportunities to work with an increasing number of non-members of growing importance to the world economy.

We are looking for a Communications Assistant who, under the supervision of the Head of Publications, Printing and Sales Unit (PPS) and the Production Co-ordinator at the International Energy Agency (IEA), will assist with the publications.

Main Responsibilities

Administrative tasks

Liaise with Public Affaires and Communications Directorate at the OECD for International Standard Book Number, codes and print runs and check if these are okay on the covers done by Communication and Information Office (CIO) graphic designer.

Keep IEA programme of publications as well as CIO SharePoint up-to-date.

As a back-up handle Confirmation of Services and invoices for editing and translations. Update related planning documents and database accordingly.

Publications and communications

In co-ordination with the Production Co-ordinator, assist in liaising with outsourced printers and other providers, and carry out quality control by checking proofs and making sure that texts, charts and tables conform to the OECD Style Guide and IEA standards.

Assist in providing support to authors, project managers, assistants and anyone dealing with publications, in order to guide them through IEA processes to develop high-quality publications.

Ideal Candidate Profile

Academic Background

Good level of secondary or post-secondary education, preferably with a degree in literature, the social sciences, education, publishing or communications.

Professional Background

At least 2 years experience in experience with OECD publications policies, procedures and software.

Languages

Fluency in one of the two OECD official languages (English and French) and knowledge of the other, with a commitment to reach a good working level.

Core Competencies

Please refer to the level 1 indicators of the OECD Core Competencies .

Contract Duration

6 months temporary opening part-time 50% according the following schedule: Monday afternoon, Wednesday and Thursday full days; with possibility of renewal.

Salary Information

Salary and conditions will depend on the experience of the selected candidate as well as on her/his status. Possibility of part-time temporary assignment for official staff members.
